We are committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal data when you use our website and services, including any AI-enabled features such as our “AI Coaching” tool.


This Privacy Policy should be read together with our Terms of Use and any other documents referenced on our website. By using our website or services, you acknowledge that you have read and understood this Privacy Policy.


If you are under 18, please do not use our services or submit personal data to us.

1. Who we are and how to contact us
For the purposes of the Personal Data Protection Act 2012 (Singapore) (“PDPA”), Essence Leadership Pte Ltd (trading as Dr OM & Associates) is the organisation that determines how and why your personal data is processed.

We have appointed a Data Protection Officer. For a small organisation, we use the company contact details above as our privacy contact point.

 

 

2. Scope of this Privacy Policy
This Privacy Policy applies to personal data collected through:

  • our website (including forms, applications, newsletter sign-ups and interactive features);

  • our services, products and programmes offered through the website; and

  • our AI Features.

 

It does not apply to third-party websites or services that you may access via links on our website. Please review their privacy policies separately.

 

 

3. Personal data we collect
We may collect and process the following categories of personal data (depending on how you interact with us):

  • Identity and contact data: name, email address, telephone number, address, and other contact details you provide.

  • Account and profile data: details you submit when registering, applying, booking, purchasing or filling in forms.

  • Transaction data: details relating to purchases and payments (e.g., payment status and billing information we receive from payment processors).

  • Communications data: your messages to us (e.g., emails, enquiries, support requests) and our responses.

  • Survey and feedback data: responses to surveys/questionnaires and feedback forms (you are free to decline).

  • Technical and usage data: device information, IP address, browser type, pages visited, time spent, referral URLs, and similar analytics data.

  • Cookie data: information collected via cookies and similar technologies (see Section 10).

  • AI Feature data: prompts/inputs you submit to the AI Features, and the AI-generated responses (see Section 8).

 

Some information you choose to provide (especially within AI Features) may include sensitive personal data, such as information about health, mental wellbeing, relationships or personal history. Please share only what you are comfortable sharing, and do not include highly sensitive identifiers (e.g., NRIC numbers, passport numbers) unless we explicitly request them for a legitimate purpose.

4. How we collect personal data
We collect personal data in the following ways:

  • Directly from you when you submit forms, register, apply, purchase, sign up for newsletters, complete surveys, contact us, or use our AI Features.

  • Automatically through your use of the website via cookies and similar technologies (see Section 10).

  • From service providers who support our website and operations (e.g., hosting, analytics, email delivery and payment processing), where they lawfully share information with us.

5. How we use your personal data
The purposes for which personal data may be used by us in and outside Singapore include:

  • ensuring that content from our website is presented in the most effective manner for you and for your device;

  • providing you with alerts, newsletters, education materials or information that you requested or signed up to;

  • processing applications, bookings, purchases and fulfilling orders;

  • carrying out our obligations arising from any contracts entered into between you and us;

  • allowing you to participate in interactive features of our services, when you choose to do so;

  • designing and conducting surveys/questionnaires for profiling/segmentation and statistical analysis, and improving our products and services;

  • maintaining the safety, security and integrity of our website and services, including preventing fraud and misuse;

  • complying with applicable laws and regulations;

  • legal proceedings, including collecting overdue amounts and seeking professional advice;

  • researching, designing and launching services or products (including seminars/events);

  • promoting and marketing services and products subject to your exercise of the opt-out right (see Section 7); and

  • purposes directly related or incidental to the above.

 

 

6. Consent and lawful purposes (PDPA)
Under the PDPA, we generally collect, use and disclose personal data with your consent (which may be express or deemed, depending on the circumstances), and/or where permitted under the PDPA.


By using our website, making an application, purchasing a plan, or using our services (including AI Features), you consent to the collection, use and disclosure of your personal data as outlined in this Privacy Policy.


If we introduce additional consent mechanisms (for example, a checkbox acknowledgement at checkout linking to our Terms of Use and this Privacy Policy), we will present those at the relevant point of collection.


You may withdraw your consent at any time by contacting us using the details in Section 1. Please note that withdrawing consent may affect our ability to provide some services or features.

 

 

7. Direct marketing
We may use your personal data in direct marketing and we require your consent (which includes an indication of no objection) for that purpose, where required by law. In this connection, please note that:

  • your name, contact details (including address, contact number and email address), products and services information, transaction patterns and behaviour, background and demographic data held by us from time to time may be used by us in direct marketing; and

  • the following classes of services, products and subjects may be marketed: services and products related to our website and/or our affiliates (including affiliate programmes we may participate in), reward/loyalty programmes and promotional offers, and invitations to events such as seminars/webinars and live programmes.

 

We may conduct direct marketing via email, direct mail, telephone and other lawful means, including sending e-newsletters. You may choose not to receive promotional materials by telling us (see Section 1 for contact details), and we will cease to do so, without charge.

 

 

8. AI Features (including our “AI Coaching” tool)
This section applies when you use our AI Features. AI Features are intended for coaching-style self-reflection and learning. They are not psychotherapy, medical advice or crisis support.


Our AI Features are powered by a third-party AI service provider. When you use the AI Features, your inputs may be transmitted to that provider for processing and to generate responses. Your use of the AI Features may also be subject to the relevant provider’s terms and privacy practices. Please consider this when deciding what to share.


When you use AI Features, we may process:

  • your prompts and inputs (e.g., journal-style reflections, questions, goals, mood check-ins);

  • the AI-generated responses;

  • metadata associated with the interaction (e.g., timestamps and technical data); and

  • any feedback you submit about the AI response.

 

No conversations on our AI Features are used by us to train or fine-tune the AI model or our ‘AI Coaching’ tool. The AI Feature experience is configured based on source materials that we provide.


Access controls: currently, only the founder has access to AI transcripts and any client data of a clinical nature. Our office staff’s access is limited to operational systems such as the CRM and booking calendar necessary to manage appointments and administration.


Deletion and correction: we do not currently provide an in-product ‘delete chat’ option through our integration. If you wish to request deletion of AI Feature data linked to you (where feasible), please contact us using the details in Section 1. We will take reasonable steps to action your request, including with relevant service providers, subject to legal and operational requirements.


Please do not use the AI Features to share information you would not want stored or processed by third parties, and avoid entering: (a) other people’s personal data without their consent; (b) highly sensitive identifiers (e.g., NRIC/passport numbers); or (c) any content you would not be comfortable having seen by a limited number of authorised people for support/security purposes.

 

 

9. Disclosure of your personal data
We will keep the personal data we hold confidential but may provide information to:

  • our personnel and authorised representatives;

  • agents, advisers, auditors, contractors, financial institutions, and service providers in connection with our operations or services;

  • persons under a duty of confidentiality to us;

  • persons to whom we are required to make disclosure under applicable laws and regulations in or outside Singapore; and

  • actual or proposed transferees of our business or assets (in whole or in part).

 

Where we engage service providers to process personal data on our behalf, we require them to protect personal data and only process it in accordance with our instructions and applicable law.

 

 

10. Cookies and analytics
Our website uses cookies to distinguish you from other users. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site.


We use the following cookies:

  • Strictly necessary cookies: required for the operation of our website (e.g., secure areas, shopping cart and e-billing features).

  • Analytical/performance cookies: help us recognise and count visitors and understand how visitors move around our website.

  • Functionality cookies: recognise you when you return and remember preferences (e.g., language/region).

  • Targeting cookies: record your visit, pages viewed and links followed to make content and advertising more relevant.

 

Third parties (including advertising networks and providers of external services like web traffic analysis services) may also use cookies, over which we have no control.


Our website may use Google Analytics or similar analytics tools. You can block cookies by activating the setting on your browser that allows you to refuse the setting of all or some cookies. However, if you block all cookies (including essential cookies) you may not be able to access all or parts of our website.

 

 

11. Security
We use reasonable administrative, technical and physical safeguards designed to protect personal data against unauthorised access, alteration, disclosure or destruction.


We aim to use core systems and service providers that are designed to meet strong healthcare-grade security standards, including HIPAA-aligned or HIPAA-compliant safeguards where applicable.


Where the website offers account access protected by a password, you are responsible for keeping your password confidential and should not share it with anyone.


Payment transactions (where applicable) are processed using encryption (such as SSL technology). Depending on the payment method and processor, we may receive limited payment information (e.g., payment status), but we do not aim to store full payment card details on our systems.


Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect personal data, we cannot guarantee the security of data transmitted to our site; any transmission is at your own risk. Once we have received your information, we use procedures and security features to try to prevent unauthorised access.

 

 

12. Retention of personal data
We only retain personal data for so long as it is necessary for the purposes for which it was collected, to comply with legal and regulatory requirements, and for legitimate business purposes such as maintaining records, resolving disputes and enforcing agreements.


We do not currently operate fixed retention periods across all data categories. Data may be archived as long as the purpose for which the data was used still exists. Where appropriate, we will delete, anonymise or securely dispose of personal data when it is no longer needed.

 

 

13. Data transfers and international processing
We may hold your data on servers in Singapore and in other territories. We use international technology providers and service providers whose servers and back-up servers may be located in multiple jurisdictions. As a result, personal data may be stored or processed outside Singapore.


When transferring personal data outside Singapore, we take reasonable steps to ensure that the recipient provides a standard of protection comparable to that under the PDPA (for example, through contractual safeguards).

 

 

14. Your rights under the PDPA
Under the PDPA, individuals have the right (subject to applicable exceptions):

  • to check whether we hold personal data about you and to access such data;

  • to require us to correct as soon as reasonably practicable any data relating to you which is inaccurate;

  • to ascertain our policies and practices in relation to personal data and the kind of personal data held by us;

  • to withdraw consent for certain uses of your personal data; and

  • to object to the use of your personal data for marketing purposes and we shall not use your personal data for marketing purposes after you communicate your objection to us.


Please send requests for objections, access to data, correction of data, information regarding policies and practices and kinds of data held, questions or complaints to the contact details in Section 1.


In accordance with the PDPA, we have the right to and may charge an administrative fee for processing a data access request. We will inform you of any applicable fee (and the basis for it) before processing your request.


We may need to verify your identity before processing any request. We aim to respond within a reasonable time in accordance with the PDPA.

 

 

15. Third-party websites
Our website may contain links to other sites (“Linked Sites”). We are not responsible for the privacy policies or practices of such Linked Sites. We encourage you to be aware when leaving our website and to read the privacy policies or statements of each Linked Site that collects your personal data.

16. Changes to this Privacy Policy
Any changes we may make to this Privacy Policy in the future will be posted on this page. Your continued use of our services constitutes your agreement to this Privacy Policy and any updates.

17. Governing law and jurisdiction
Nothing in this Privacy Policy shall limit the rights of the data subject under the PDPA. This Privacy Policy shall be governed by the laws of Singapore. You agree to submit to the exclusive jurisdiction of the Singapore courts.
